We are a small firm of just over 20 employees and poised to grow rapidly in the next year. We have an immediate opening for an Administrative Assistant. Below are necessary qualities each candidate must possess, as well as details of the position.
Qualifications
• Must be proactive and self-generating
• 5+ years experience as an administrative assistant
• Advanced knowledge of Microsoft Office Suites, especially Word, Excel & PowerPoint
• Highly organized
• Ability to work independently as well as collaboratively with a diverse team
• Ability to effectively prioritize and multi-task
• Excellent time management skills
• Ability to use logic and initiative to address and solve problems
• Ability to manage databases
• Ability to review and proofread documents
• Proficient with office hardware (phone system, printers, copiers and others)
• Effective verbal and written communication skills (in English)
• Excellent interpersonal and phone skills
• College degree preferred
Position Responsibilities
• Office / Administrative Support:
o Support all staff as needed with documentation and organizational skills
o Directly support firm President with travel arrangements and schedule management
o Answer phones
o Ensure proper distribution of all incoming mail and faxes; prepares postage for all outgoing mail; and coordinate shipping process for packages and direct mailings
o Arrange travel and meetings
o Compile PowerPoint presentations, setup, and reset conference room for meetings
o Maintain project profile and client contact database (Vision by Deltek)
o Maintain general office equipment, troubleshoot and coordinate technical support for repairs and upgrades
o Maintain and update library books and reference materials
o Anticipate office needs by conducting regular inventory of the office and kitchen supply room, ordering supplies as necessary
o Maintain upkeep of all common areas
o Other special projects as necessary
• Record / File Management:
o Maintain efficient filing systems for project and office files
o Log incoming and outgoing project documents
o Manage electronic project files on the internal network
• Project Administration:
o Proofread and format proposals, technical reports and contracts
o Manage contract process through to execution
o Work with the project managers, controller and insurance representative in managing project cycle check list
o Assist in preparing and submitting employee expense reports
o Prepares productivity reports for weekly management meeting
• Human Resources Assistant:
o Manage recruiting process
o Documentation management for new employees
o Schedule informational meetings with outside HR vendor
o Maintain quarterly performance review calendar
