Window Witches: Protectors for the doctor

June 2, 12:18 PM

Witches and health care have a long and torturous (no pun intended) past going back centuries.   But today I'd like to talk to you about a modern "witch", the window witch in the doctor's office.  This title is not original, but according to my drug rep friends, is one they use when talking about the clerk who lets them see the doctor or cool their heels in the waiting room.  You know the ones, they are sitting at the front when you sign in at the doctor's office.

Why are window witches feared by people who want the doctor's time?  Because they are hired to guard it zealously and eject all those they deem unworthy from the premises.  This is an important job because, if you've read previous posts, you know that time is money.  The doctor is selling expertise which is based on time.  The window witch is hired to keep undesirables from taking up too much of the doctor's time, thus reducing productivity and possible income.

Often the window witch is a highly organized, experienced assistant who can discern at a moment's notice who needs immediate care.  Sometimes, they are disinterested temporary help with minimal training who enjoy the power that comes from granting or denying access to those they see as superior.  Sometimes, it's a bit of both.  Surely, there has to be some pleasure in that!

Window witches can be bribed.  Drug reps have limitations on what they can offer to gain access.   The best means at their disposal is to give free food.  Window witches love food and will usually grant a lunch time meeting if sandwiches are provided for the doctor and the entire staff.  This may be done several times a week and makes the staff happy.

As a patient, how does the window witch affect you?   She is very important in granting you access when you want an appointment.  She can also get in touch with the doctor or nurse if you need a prescription or just need a question answered.   It is critical that the window witch know you personally, that you ingratiate yourself with her if at all possible.  This is especially true if you plan to have a long term relationship with your doctor.  Get to know all the staff, but especially the office manager and the window witch.  They can make your life much easier.  Here are a few ideas you can consider as you map out a plan to conquer those who preside over the doctor's time and ultimately give you access ahead of others:
  • Be punctual for all appointments and cancel early if needed
  • Be personal:  comment on baby pictures or family photos if you can
  • Be pleasant:  this separates you from all the other patients who are surly and complain about everything
  • Thank the doctor and the staff for their help.  They like hearing that.
  • Ingratiate yourself with the staff:  bring food, flowers, a card or something to brighten their day.
I know you're thinking, bring food?  It depends on the medical practice certainly, but a plate of your homemade cookies will be devoured before you can get to your car.  Be sure you put your name on the bottom of the paper plate so when they're finished, they'll remember it was you who thought of them.  Flowers from your garden are always a nice touch as well.  It doesn't have to be big, but whenever you can personalize the relationship, you will come out ahead when you call and need something .

Remember, when the doctor's time is guarded so zealously, the window witch should be your best friend!
