Do you need an inexpensive but effective solution to keep track of all your clients and prospects?  My favorite solution in the "I don't have a budget for this" category is Highrise by 37 Signals.

The service is free for up to 250 contacts, and after that it is still pretty affordable. 

You may be asking why you need a system like this when your clients are in your email system, your accounting system, or in a paper system. 

  • You can set up your own system of "tags" to quickly pull up contacts by type - for instance all prospects, or all customers who have bought the XYZ product
  • A "dropbox" email address is assigned to you. This means you can put the dropbox address in the bcc section of any email you send and it will deposit that email in that customer's file.  This is my favorite feature.
  • Your "to do" list can also be captured here with the bonus of attaching your tasks to specific people when needed. 
  • Highrise now has a Deals section so you can track your deals, find out how much money you've earned from specific clients as well as how much you've lost by not winning the bid. 

For a small business this is a very handy solution.  You can even collaborate with people outside your company through the Case section.  Simply set up a case project (perhaps a deal where you are working with subcontractors) and invite them.  They can only see the material in the case, not your other customer information. It gives you an easy place to work together and all your information is stored in one place.

37 Signals provides tutorials, an easy-to-use online manual, and a help desk to get you started.  I was up and running in less than 5 minutes.

If you need this type of solution and don't have a lot of money to spend - hey, even if you do have a lot of money to spend - Highrise is a great tool.
