Let’s be honest. Most business people can write. Some just write better than others but at the end of the day being able to formulate the right words is essential when communicating. Contrary to popular belief, you don’t need a Ph.D. in English to write an email, you just need to understand how to put a well thought out sentence together that conveys your thoughts. What does all that mean? Simply put… writing is not rocket science.
If you get the jitters when it comes to writing for your company’s communication tools, then you are not alone. Here are some great tips to make formulating the right words:
Keep it simple. You don’t have to write a dissertation when you communicate to your employees or clients. You just need to ensure you are conveying the right message. If you have to go into details then get someone to spell check it for you and to make sure it flows.
Be concise but interesting. Again, keeping it simple allows you to be concise with your words. You don’t have to overthink the words you are trying to say, just make sure you say them right. For instance, sending out a greeting that is long will lose the reader almost instantly, so to make sure you keep their attention, get in and get out with your words.
Ask someone to check your words. If you know you have a tendency to be harsh or too nice when you correspond with people, then ask someone to look over your correspondence to ensure that your tone is neutral.
Show your expertise. When you send out a correspondence such as a newsletter, you want to make sure that you show your expertise. Don’t use your jargon, unless you are talking to your peers who are in the same arena as you. Don’t limit yourself to only discussing one subject matter; broaden your scope with new specials and deals, if applicable. You can include more information about events, services, causes your support or hints and tips to show your level of expertise to your clients.
Include videos. It’s okay to include videos for your clients to enjoy. A video helps place visual value to your message. It shouldn’t be long at all and it should include a concise, simple and expert advice. It doesn’t hurt for it to be entertaining as well.
Formulating the right words is not hard. Just remember don’t over think it and when in doubt have someone check you for accuracy.
